A complete onboarding request helps your organization prepare the right accounts and equipment before a new employee starts. Use an authorized business contact to approve the request and specify access rather than relying on a job title alone.
Include the basic details
- The employee’s preferred display name, work email format, role, and department.
- The start date, location, working arrangement, and manager.
- Whether a new device is needed or an existing device will be reassigned.
- The business applications, shared mailboxes, groups, and folders required.
List requested access explicitly. Avoid “same access as another employee” unless the organization has reviewed which permissions should be copied.
Confirm licensing and equipment
Tell us whether the user needs desktop Office applications, web-based email, specialized software, or additional services. Existing subscriptions may not cover every requirement, and availability or cost needs confirmation before new purchases.
For an existing device, include its asset name or identifier and who currently has it. Identify accessories, remote-work needs, and any approved application that needs installation.
Plan the handover
- Identify who will receive the device and setup instructions.
- Arrange a secure method for any initial credential handover; do not put passwords in a support ticket.
- Allow time for the employee to register approved authentication methods and test access.
- Confirm essential tasks such as email, shared resources, and required applications before treating the setup as complete.
Submit the request
Open one ticket with the requested date and an authorized approver. Attach a checklist if your organization has one. Specify any urgent business dependency, but do not assume a particular turnaround time until it has been agreed.
Notify us when requirements change so duplicate accounts, unnecessary licenses, or inappropriate access can be avoided.
